Title:  Outreach and Education Assistant Manager

Work week:  20 hours/week

Reports to:  Outreach and Education Manager

Overall Responsibility:

Work with staff and board to fulfill the mission of The Scrap Exchange by helping to ensure the success of The Scrap Exchange’s Outreach Programs.

Primary Duties and Responsibilities:

Program Management

  • Oversee the successful completion of onsite and offsite events in coordination with the Outreach and Education Manager
  • Respond to party, workshop, open studio, school event, and general event inquiries with information about programming options and cost
  • Provide courteous, friendly and efficient customer service
  • Once events are booked, enter the information in the database
  • Introduce Open Studio participants to the Make N Take room as needed
  • Provide post-event follow-up for on-site activities as needed
  • File paperwork from on-site events and update the database with relevant post-event information, including payments and key information for future events
  • Coordinate with class instructors to make sure rooms and materials are prepared for classes
  • Make sure that the information station kiosks are stocked and up to date for events
  • Work with the Outreach and Education Manager to prepare and pack event materials

Program Development

  • Explore opportunities for program growth and development
  • Develop new business opportunities through outreach to potential clients, expanding current markets, and periodically traveling to trade shows to market and promote our creative and educational programs
  • Schedule marketing for all programming using social media
  • Work with Design Manager to develop appropriate marketing collateral for programs

Materials and Room Maintenance

  • Collaborate with staff to ensure materials are stocked in the Make N Take Room and offsite programing
  • Supervise volunteers projects to process and sort program materials
  • Keep Design Center and Make N Take Room clean and organized; work with staff and volunteers to maintain rooms
  • Work with other staff to divert fun, colorful materials for creative, educational programs
  • Maintain adequate supply of tools and supplies (scissors, tape staplers, etc.)

Shared Responsibilities

  • Maintain and organize follow up surveys for internal and external reporting
  • Be available to give binders to outreach staff as needed with other staff
  • Serve as back-up for on-site and off-site events
  • Serve as back-up for the Scrap Shop which may include working at the register
  • Pick up and return rental trucks as needed on a rotating basis with other staff
  • Offer organizational support for operations, subbing for sick/vacation and general filling in as needed
  • Assist with maintaining the upcoming events calendars onsite and on the website

Requirements: 

  • Must be willing to work weekends
  • Must be at least 18 years old
  • Must have valid NC Driver’s License and a clean driving record
  • Must be experience with cash handling
  • Must be comfortable working with groups of people with diverse needs and backgrounds
  • Must have customer service experience and be comfortable talking with costumers in person, via phone, and email.

  • 10 discretionary days, pro-rated according to hours worked (e.g., 40 hour per week employees receive 80 hours, 30 hour per week employees receive 60 hours, 20 hour per week employees receive 40 hours)
  • PTO hours accrued at the following rates for regularly scheduled hours (non-PTO, non-outreach events) worked:
    • 5% in years 1 and 2
    • 7.5% in years 3, 4 and 5
    • 10% in all years thereafter
