Community Events Coordinator

Title: Community Events Coordinator 
Work week: 15-20 hours/week
Reports to: Outreach and Education Manager
Pay: $12-$13 per hour (Depending on experience) 

Overall Responsibility:
Work with staff and board to fulfill the mission of The Scrap Exchange by taking a lead role in managing community and special events to increase awareness of The Scrap Exchange and its programs, merchandise, services and fundraising efforts. 

Primary Duties and Responsibilities: 

    • Coordinate special events, 3rd Friday/ gallery openings, and community events – event sizes will range between 10- 1000 people 
    • Coordinate with the design and marketing teams to create marketing materials and promote events 
    • Work with the volunteer coordinator to determine volunteer assignments and recruit volunteers to prep and staff events 
    • Oversee event logistics including: preparing event spaces, communicating event details throughout the organization, delegating tasks, coordinating with vendors, and tracking projected and actual event expenses 
    • Solicit and coordinate event space rentals at The Scrap Exchange 
    • Develop opportunities for community involvement and manage The Scrap Exchange’s participation in community outreach/tabling events  
    • Act as a liaison for The Scrap Exchange at community events 
    • Serve as backup at Outreach and Education events when necessary 
    • Coordinate Gallery Openings/Third Friday events with the Gallery Committee  
    • Develop and maintain community relationships 
  • Assist Development Director with acquiring event sponsors

Requirements:  

    • Must be able to work weekends  
    • Must be willing to work additional hours during the months of April and November (When special events take place) 
    • Strong written/oral communication skills  
    • Must be comfortable managing large teams and leading team meetings 
    • Strong time-management skills 
    • Clean driving record 
    • Must be comfortable lifting up to 50 lbs 
    • 2-3 years of event coordinator experience is preferred 
  • Preference will be given to individuals with experience coordinating special events, gallery events, and or community outreach
