Title: Office Administrator 
Work week:  22-25 hrs/wk; M-F, morning hours preferred (with potential for full-time)
Wages: $12-$13/hr, depending on experience
Reports to:  Executive Director  

Overall Responsibility: 

Work with staff and board to fulfill The Scrap Exchange’s mission by assisting with office management, operations, and administrative duties. Provide support to all departments including Executive Director, Collections, Marketing, Development, and Outreach.

PRIMARY DUTIES AND RESPONSIBILITIES 

    • General office support: answer phones, process mail, maintain files in accordance with official documents retention policy 
    • Assist all departments with administrative tasks, as needed 
    • Manage inventory of office and building supplies: order/purchase/gather supplies as needed 
    • Assist with HR benefits programs, including adding and removing employees from plans 
    • Assist with maintenance of employee personnel files and paperwork 
    • Assist with finance activities including processing invoices, mailing bills, distributing paychecks, and making deposits 
    • Assist with compiling and distributing meeting notes for weekly meetings and monthly committee meetings 
    • Assist with managing building maintenance activities including coordinating service calls for repairs (e.g., plumbers, HVAC repair, etc.) 
    • Assist with maintaining and distributing marketing and promotional documents 
    • Assist with fundraising campaigns  
  • Assist with creating and distributing employee W-2 forms and contractor 1099 forms 

SKILLS / QUALIFICATIONS 

    • Proactive and able to work independently 
    • Detail-oriented with excellent organizational skills 
    • Good written and oral communication skills 
    • Able to juggle multiple tasks and work in an active office environment with many distractions 
    • Mastery of basic office skills and procedures (phones, mail, filing, communication, etc.) 
  • Mastery of basic computer skills using Microsoft Office (Word, Excel, Outlook). Experience with Quickbooks and/or FileMaker Pro a plus.

  • PTO hours accrued at the following rates for regularly scheduled hours worked:
    – 5% in years 1 and 2
    – 7.5% in years 3, 4 and 5
    – 10% in all years thereafter
